Meeting Procedure

Open Circuit Meetings will be run according to the following rules.

Standard Meeting Agenda

  1. Introductions: Each meeting will open with a go-around so that meeting attendees can learn each others' names. The facilitator may also suggest that attendees share other information that might help break the ice.
  2. Assigning Roles: After Introductions, the facilitator will ask attendees to volunteer for the following meeting roles:
    1. Note-Taker
    2. Timekeeper
    3. Facilitator for next meeting
  3. Agenda Items: The facilitator will ask meeting participants for additions or revisions of the agenda. If there are no objections, the facilitator will call for consensus on the agenda. Each agenda item will be given a time limit to keep the meeting within 90 minutes.
  4. Reports: Meeting attendees will be asked to report on any business undertaken since the previous meeting. Committees will report on their meetings and activities. Any proposals or business relating directly to these activities can be put on the floor at this time.
  5. Old Business: Any proposals tabled at the previous meeting will be addresses in this section.
  6. New Business: Any new proposals or ideas from the membership may be brought forward for discussion at this time.
  7. Announcements: Members may make announcements about events, projects, or other important information at this time.
  8. Check-out: The meeting will end in a go-around where everyone has a chance to talk about how they feel about the meeting. The Facilitator may suggest other topics to be commented on during the go-around as well.

Time Limit

Each meeting will be adjourned after promptly 90 minutes. The timekeeper is responsible for keeping discussion of each agenda item within limits, or calling for a decision to extend the time allotted to the item.

Decision-making

Decisions will be made by formal consensus.
